Job Description: WIC Administrative Assistant
Definition:
As a member of the WIC administrative staff this position performs a variety of functions or may be assigned to one area as a specialist relating to ISIS, department purchasing, inventory control, communications, end of the month reports, supplies and other administrative activities including participation in trainings for staff, maintaining WIC administrative files, assisting with the development of departmental policy and procedures, and assisting with quality improvement activities. This position may also include supervising other employees as specified. This position is 100% client services.
Responsibilities:
Supervises staff performing food instrument inventory: supply inventory, delivery of equipment and supplies to clinics. Prepares data documents relating to WIC clinics statistics of food instrument issuance and participation. May be assigned to do security Logon IDs for ISIS. Acts as liaison between WIC Administrative office and WIC branch for ordering inventory of checkstock and forms. Reviews and consolidates food instrument void reports and shreds all voided food instruments. Assists with WIC audits and serves as primary contact fro food instrument/vendor activities between WIC branch and NEVHC-WIC.

WIC Program Special Assignments:
Reports vendor complaints to the vendor complaint unit at the State WIC Branch. Assigned to special formula requests - acts as liaison between purchasing and the WIC sites.

General Office:
Maintains delivery schedule and supervises delivery staff. May be asked to prepare inventory reports for the WIC office. Handles all purchase requests and acts as liaison between purchasing and the WIC department. Participates in office management meetings and inservices for WIC Staff. Provides technical assistance to WIC clinic supervisors. Maintains WIC purchasing records, backup documentation, and some accounting records. Interfaces with the accounting department to keep WIC fiscal documents in order. Assists the project director with monthly WIC invoice to the WIC Branch. Oversees the VOC logs and transfers of WIC participants to other states. Acts as communications specialist to ensure Office Voice Mail fro WIC Staff and Auto. Attendant functions fro the Information and Referral Unit. Participates in all safety programs which may include assignment to an emergency response team. Assists with performing audits of WIC records and inventory in the various WIC clinics throughout the San Fernando Valley. Assists with any other activity in the WIC office to maintain consistent quality service to the participants.

Knowledge and Abilities:
Good organizational skills. Knowledge of the policies and procedures (State) for the Women, Infants and Children (WIC) Program with regards to voucher security and distribution. Working knowledge of clinic operations for the program. Ability to work with the State WIC personnel as well as with NEVHC program personnel. Ability to supervise, evaluate and foster team work among the WIC office staff. Must be computer literate (Lotus, Microsoft Office, Visio, Data base and word processing software knowledge).

Physical Activities of the Job:
May be asked to lift materials and equipment not to exceed 25 pounds. Some stooping and lifting required as to equipment installation or inventory control materials.

 

Qualifications:
High School graduate, some college work with courses in computers and math desired/ or able to demonstrate knowledge of computer software, ie., Dbase , Lotus, WordPerfect. Two years college preferred.
Must type 55 words per minute.
A minimum of 1 year experience in WIC providing direct client services and 1 year of administrative experience in WIC, ie., assisting with training.
Current Class 3 driver's license and adequate insurance.
